To decrease COVID-19 exposure, the City Council Chambers is closed, but public viewing and input on the items are available electronically. Members of the City Council will appear electronically for this meeting, via a video conferencing platform, and the live meeting will be accessible via broadcast and telephonically. 
Because of the current public health emergency, the City Council Chambers is closed for Council Meetings.

This contract provides supplemental purchases of computer equipment outside the normal cycle replacement program for customer departments to meet their current and future technology needs. Purchases are made on an as-needed basis. The contract amount is based on previous technology purchase requests from City departments and the contract will now include Microsoft products. The Innovation and Technology Department and Purchasing recommend renewing the contract through July 31, 2021, using the State of Arizona cooperative contracts with Dell Marketing LP; Apple Computer, Inc.; Panasonic Solutions; and Microsoft Corporation; at $400,000, based on estimated usage.

Recommendation 
Council is requested to approve the renewal as recommended. 
The Innovation and Technology Department (DoIT) and Purchasing recommend renewing the contract through July 31, 2021, using the State of Arizona cooperative contracts with 

  • Dell Marketing LP; 
  • Apple Computer, Inc.; 
  • Panasonic Solutions; 
  • and adding the vendor Microsoft Corporation; 

at $400,000, based on estimated usage. 
Background / Discussion 
This Contract (No. 2018026) provides for the City’s PC Cycle Replacement program and provides supplemental purchases of computer equipment. Supplemental purchases are made for customer departments to meet their current and future technology needs both known and unknown. 
> On June 4, 2018, Council approved the annual contract amount of $400,000 for supplemental purchases of computer equipment. The amount for the supplemental purchases is based off spending from the previous two years and annual purchases have increased compared to those years. 
The Innovation and Technology Department requests the contract amount of $500,000 to be effective 10/13/2020; based on an increase of technology purchase requests from City departments and incorporating Microsoft products under this contract. 
This estimated amount should meet the on-going technology needs of the City. 
It is in the City’s best interest to renew the contract through 7/31/2021, the same expiration as the State contracts. 
City departments are satisfied with each vendor’s products and the vendors continue to meet expectations and requirements. Using these cooperative continues to be advantageous to the City and it is in the City's best interest to renew this contract.
